Who we are
NEXSYS Cabling (“we”, “us”, “our”) is a structured IT cabling business operating across the East of England and London. This policy explains how we handle personal information you give us when you enquire about our services or use this website.

What information we collect
We only collect information you choose to give us, which is typically:
- Contact-form details — your name, email address, phone number, company (optional), site type, preferred contact method, subject and the content of your message. When you submit the form it is sent to our website server, which emails the enquiry to us. The submission is also checked by an anti-spam service (Cloudflare Turnstile) before it is sent.
- Any follow-up correspondence — emails, phone calls and survey notes that we exchange with you about a quote or installation.
- Analytics data (only if you accept analytics cookies) — anonymised information about how you use the site, collected by Microsoft Clarity and Google Analytics. This is described in full under “Analytics” below.
We do not use advertising or profiling cookies, and we do not sell your data. With your consent we use Microsoft Clarity and Google Analytics to understand how the site is used — see the “Analytics” section below, and the cookie policy for the full cookie list and how to change your mind.
Why we use it
We use the information you send us only to:
- Respond to your enquiry and arrange a site survey.
- Quote, deliver and support the work you ask us to do.
- Keep proper business records (invoices, installation reports, warranty files).
Under UK GDPR, the lawful basis for this processing is our legitimate interest in responding to your enquiry, and — once you become a client — the performance of a contract with you. We do not send marketing emails unless you explicitly ask to be kept in touch.
How long we keep it
Enquiries we don’t take on are typically deleted within 12 months. Records tied to installations we deliver are kept for the length of the warranty (up to 25 years) so we can honour warranty claims, plus any period required by HMRC for accounting purposes.
Who sees it
Your information stays within NEXSYS Cabling. We don’t sell or share it with third parties for marketing. The limited service providers that may process it on our behalf include:
- Our email provider (to deliver and store the emails you send us).
- Our website host (server logs only; this site is static and does not store form submissions).
- Cloudflare — provides the Turnstile anti-spam check on the contact form.
- Microsoft (Clarity) and Google (Analytics) — analytics processors, only if you accept analytics cookies (see “Analytics” below).
- Our accountant, for invoice-related information we are legally required to retain.
Where it’s stored
Information is stored on systems located in the United Kingdom or the European Economic Area. If any provider stores data outside the UK/EEA, we’ll make sure an appropriate transfer mechanism (such as UK IDTA or EU SCCs) is in place.
Your rights
Under UK GDPR, you have the right to:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct anything that is wrong.
- Ask us to delete information when we no longer have a lawful reason to keep it.
- Object to our processing, or ask us to restrict it.
- Withdraw any consent you’ve given (for example, to marketing emails).
- Complain to the Information Commissioner’s Office (ICO). Their helpline is 0303 123 1113 and their website is ico.org.uk.

Analytics
Analytics tools help us understand how the site is used so we can improve it. They load only after you click “Accept” on the cookie banner; if you decline, none of them run. Your choice is remembered by a single essential entry in your browser’s local storage so the banner doesn’t reappear each visit. Our lawful basis for analytics is your consent, which you can withdraw at any time via “Manage cookies” on the cookie policy page.
Microsoft Clarity
We use Microsoft Clarity, a product of Microsoft Corporation, to see how visitors interact with the site through aggregated heatmaps and session replays — recordings of page interactions such as clicks, taps, scrolling and mouse movement. Clarity helps us spot confusing layouts and broken journeys. It does not capture your keystrokes in form fields: Clarity is configured to mask text input and other sensitive content by default, so the details you type (name, email, message) are not recorded. Clarity sets cookies and reads device/browser information to distinguish sessions. Microsoft acts as our processor and may also use the data as a controller in line with the Microsoft Privacy Statement; data may be processed outside the UK/EEA under appropriate safeguards.
Google Analytics 4
We use Google Analytics 4, provided by Google LLC (and Google Ireland Ltd for UK/EU users), to measure aggregate traffic — how many people visit, which pages they read, how they arrived (search, social, direct) and approximate location (country/region). Google Analytics 4 does not log or store IP addresses, and we do not enable Google Signals or advertising personalisation, so the data is not used to build advertising profiles of you. Google acts as our data processor under the Google Privacy Policy; data may be transferred outside the UK/EEA under standard contractual clauses. You can also opt out across all sites with Google’s browser add-on.
Managing your choice
We never use advertising or profiling cookies. To change your analytics choice at any time, click “Manage cookies” on the cookie policy page, or clear the consent entry / block cookies in your browser. The full list of cookies each tool sets, with retention periods, is in the cookie policy.
Changes to this policy
We’ll update this page if we change how we handle personal information, and revise the “Last updated” date at the top. Material changes will be highlighted in a brief note.
